SPONSOR & VENDOR FAQ 🎃
Frequently Asked Questions
For Sponsors and Vendors
What is the expected attendance for CaresFest 2026?
We are anticipating a warm, engaged crowd of approximately 300 local community members and families throughout the day, giving your business excellent face-to-face regional visibility.
How does the vendor deposit work?
To secure your space and ensure a full, vibrant market for our families, a $75 deposit is processed at the time of registration. Once the event wraps up, your deposit is finalized based on the choice you made when signing up:
-
Option 1: Gift My Deposit (Most Popular)
-
You can choose to leave your deposit with us as a tax-deductible donation. This gift goes straight to work in our community—helping us provide 24/7 crisis hotlines, free clinical counseling, and personal medical and legal advocacy for local survivors when they need it most.
-
-
Option 2: Refund My Deposit
-
If you requested a refund during registration, we will return the $75 to your original payment method after the festival. Please note that refunds are strictly contingent upon your full attendance and completion of the event.
-
Please Note: If a vendor does not attend or leaves the event early, your deposit automatically remains with CVC as a direct gift to support our mission.
Do I need to bring my own setup equipment?
Yes. To keep this event low-barrier, vendors opting to staff a space are responsible for bringing their own tables, chairs, display pieces, and generators.
Are tents allowed?
Absolutely! We highly encourage tents to define your space. However, because the setup area is on a hard surface, all tents must be secured with weights or sandbags for safety. Stakes cannot be used.
What time should we arrive for setup?
We are currently finalizing the precise load-in schedule with our logistics team to ensure a smooth, staggered arrival for everyone. Exact setup times and parking instructions will be emailed directly to all registered vendors late this summer. (Rest assured, you will have plenty of time to get your booth looking perfect before the gates open!)
Will I have access to electricity or outlets?
Electrical outlets will not be accessible in the vendor marketplace area. If your booth or display requires power to operate, you are more than welcome to bring your own portable generator to use for the day!
